The client is a group of OET (Occupational English Test) students preparing for their exams worldwide.

OET is a crucial exam for healthcare professionals aiming to work in English-speaking countries. Writing a well-structured and grammatically correct letter is an essential part of the test, and many students struggle with structuring, coherence, and clarity in their responses.

Despite various online resources, students often require personalized feedback to enhance their writing skills effectively. They needed an AI-driven solution that could evaluate, rephrase, and rewrite their letters to improve their scores. 👉Check out the project here.

The Objective

The primary goal of the project was to develop an AI application that could:

• Evaluate OET letters based on predefined assessment criteria.
• Provide real-time feedback to students to improve coherence, structure, and grammar.
• Rephrase letters to enhance clarity and readability.
• Rewrite letters while maintaining the original meaning but with better vocabulary and sentence structure.

From the students’ perspective, the system should be user-friendly, efficient, and provide detailed insights into their writing performance. With just a few clicks, they should be able to upload their letter and receive constructive feedback instantly.

The Challenge

The biggest challenge was training the AI to understand the specific writing patterns required in OET letters. Unlike general English writing, OET letters have a structured format, formal tone, and specific guidelines that must be followed.

Other key challenges included:

• Developing effective prompting techniques to ensure the AI understands OET evaluation criteria.
• Fine-tuning the AI model to differentiate between minor grammatical mistakes and structural issues.
• Providing meaningful and actionable feedback that students could use to improve their writing.
• Ensuring the AI could rephrase and rewrite letters while retaining their original meaning and intent.

The Solution

To address these challenges, we built an AI-powered application using Google’s Gemini AI. The system was designed to work in three main phases:

1. Evaluation Phase

   • The AI assesses the submitted OET letter against key criteria such as structure, coherence, grammar, and relevance.
   • It highlights errors and provides a score based on the standard OET grading system.

2. Rephrasing Phase

   • The AI suggests alternative ways to phrase certain sentences to improve clarity and conciseness.
   • It ensures that the medical and professional tone of the letter remains intact.

3. Rewriting Phase

   • The AI offers a fully rewritten version of the letter, enhancing its readability and effectiveness.
   • It maintains the core message while improving grammar, coherence, and sentence structure.

Implementing the Tech Magic

To make this AI-driven application a reality, we used the following technologies:

• Gemini AI for natural language processing and text generation.
• Fine-tuned prompting techniques to guide the AI in evaluating, rephrasing, and rewriting letters according to OET standards.
• Web-based application for easy access, allowing students to upload their letters and receive instant feedback.
• User-friendly dashboard that displays evaluation reports, suggested rephrased sentences, and rewritten versions for better learning.

Fixing the Potholes

While developing the system, we encountered and resolved multiple challenges to ensure a smooth user experience:

• Customizing AI feedback: Generic AI-generated responses were not sufficient, so we incorporated specific OET evaluation guidelines to make feedback more relevant.
• Maintaining consistency: AI responses were fine-tuned to ensure uniformity in evaluation, reducing bias in grading.
• Ensuring ease of use: The application was designed with a simple, intuitive interface so that students of all technical backgrounds could navigate it effortlessly.

With this AI-driven solution, OET students now have a powerful tool to enhance their letter-writing skills. Key outcomes include:
